You can invite teammates to a team workspace either by sending them a direct email invitation or by sharing a reusable invite link. Both methods are available from Workspace Settings → Members.

Invite by email

Open Workspace Settings

Click your workspace name in the top-left corner, then select Settings, or go directly to Workspace Settings from the sidebar.

Go to the Members tab

In the settings sidebar, select Members. You’ll see the current member list and any pending invitations.

Click Invite member

Click the Invite member button in the top-right of the members list.

Enter the email address and select a role

Type your teammate’s email address. Then select their role from the dropdown:
  • Member: Has access to all Promptr features, but cannot change workspace settings or invite new members.
  • Workspace owner: Can change workspace settings and invite new members.
Only workspace owners can send owner-role invitations. If you are a member with invite permission, you can only invite others as members.

Add an optional message

You can include a personal note in the Message field (optional). The invitee will see this message in the invitation email.

Send the invitation

Click Send invite. Promptr sends an email to the address with a unique link to join the workspace. The invitation is valid for 7 days.
You can generate a shareable link that anyone with the URL can use to join the workspace. This is useful for onboarding multiple people at once without entering individual email addresses.
Use the invite link when onboarding a whole team. Share it in a Slack channel, email thread, or company wiki so anyone can join in one click without a separate invitation.
To generate a link:
  1. Go to Workspace Settings → Members.
  2. Click Invite member, then select Create invite link (or look for the invite link option in the members panel).
  3. Choose the role new members will receive when they join via this link.
  4. Click Generate Link, then copy and share the URL.
Invite links can be used by anyone who has the URL. Each link expires after 7 days. Only owners can generate owner-role invite links.

Pending invitations

The Pending tab in the Members panel shows all outstanding email invitations. Each row displays:
  • The invited email address
  • The role they were invited as
  • When the invitation was sent and when it expires
Owners can cancel any pending invitation by clicking the cancel button next to it. The invitation link immediately becomes invalid. You can also resend a pending invitation. Resending extends the expiry by another 7 days and triggers a new email.

Invitation expiry

All invitations (both email and link-based) expire 7 days after they are created. After expiry, the link is invalid and the invitee must be re-invited. Resending a pending invitation resets the 7-day clock.

What the invitee sees

The invitee receives an email with a Join workspace link. Clicking the link:
  • If they already have a Promptr account, they are added to the workspace immediately.
  • If they don’t have an account, they are prompted to sign up first, then added to the workspace automatically.
Once they accept, all workspace owners receive a notification email confirming the new member has joined.
